1. Introduction
This Privacy Policy describes how Monocubed Inc, doing business as TextBolt (“we,” “our,” or “us”), collects, uses, and protects your information when you use our email-to-SMS gateway service.
2. Information We Collect
We collect information you provide directly to us, such as:
- Account information (name, email, company details)
- Payment information (processed securely through third-party providers)
- Message content and recipient information
- Usage data and analytics
3. How We Use Your Information
We use your information to:
- Provide and maintain our email-to-SMS service
- Process payments and manage your account
- Send service-related communications
- Improve our services and develop new features
- Comply with legal obligations
4. Third-Party Services & Integrations
TextBolt integrates with the following third-party services to provide our functionality:
- Google APIs (Google Calendar, Google Contacts, Google OAuth) — for reading your calendar events, syncing contacts, and authenticating your account
- Twilio — for sending and receiving SMS text messages
- Stripe — for payment and subscription processing
- MailerSend — for transactional email delivery
- OpenAI / Anthropic — for AI-assisted extraction of client contact information from calendar event descriptions. Event text is processed in real-time and is not stored or used for model training by these providers.
Each third-party service is governed by its own privacy policy. We only share the minimum data necessary for each service to function.
5. Google Calendar Integration
When you choose to connect your Google Calendar account to TextBolt, we access the following data through Google’s Calendar API (using the calendar.readonly scope):
Data We Access:
- Calendar list and names — to let you choose which calendars to monitor for appointment reminders
- Event details — including event title, date, time, location, description, and attendee information — to identify upcoming appointments and extract client contact information for sending SMS reminders
- Event status — to detect cancelled, rescheduled, or modified appointments and update reminder schedules accordingly
- Recurring event patterns — to schedule reminders for each occurrence of recurring appointments
How We Use Calendar Data:
- To automatically send SMS appointment reminders to your clients at times you configure
- To extract client phone numbers and names from event descriptions using AI-assisted parsing
- To track appointment confirmations, cancellations, and reschedule requests received via SMS replies
- To display your upcoming appointments and reminder status in the TextBolt dashboard
- To generate reports on reminder delivery rates, confirmation rates, and no-show rates
What We Do NOT Do With Calendar Data:
- We do not sell, rent, lease, or share your calendar data with any third parties for their own purposes
- We do not use your calendar data for advertising, marketing, or profiling
- We do not use your calendar data to train artificial intelligence or machine learning models
- We do not modify, write to, or delete events in your Google Calendar (we use read-only access)
- We do not access calendars you have not explicitly enabled for reminders
TextBolt’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
6. Google Contacts Integration
When you choose to sync your Google Contacts with TextBolt, we access your contact names, phone numbers, and email addresses through Google’s People API. This data is used solely to match calendar event attendees with their phone numbers for SMS reminder delivery. We do not share your Google Contacts data with third parties.
7. HIPAA Compliance
TextBolt offers a HIPAA-safe messaging mode designed for healthcare providers and other organizations handling protected health information (PHI).
When HIPAA-safe mode is enabled:
- Appointment details such as event title, location, and provider name are excluded from SMS reminder messages
- Only the appointment date, time, and client name are included in reminder messages
- Raw calendar event data stored in our system is redacted to remove PHI
- All SMS messages are sent via Twilio’s HIPAA-eligible messaging infrastructure
TextBolt does not independently hold a HIPAA certification. Organizations subject to HIPAA regulations should consult their compliance officers before using TextBolt for patient communications.
8. SMS & Text Messaging
TextBolt sends SMS text messages on your behalf using your registered business phone number through the Twilio messaging platform.
Types of Messages We Send:
- Direct messages you compose and send manually
- Automated appointment reminders based on your calendar events
- Automated confirmation, cancellation, and reschedule responses when clients reply to reminders
- Follow-up messages after appointments (if configured)
- No-show notifications (if configured)
Consent and Compliance:
- You are responsible for obtaining proper consent from recipients before sending messages
- All messages include your business name for identification (required by TCPA)
- Recipients can reply STOP at any time to unsubscribe from future messages
- TextBolt uses registered toll-free numbers that comply with A2P 10DLC requirements
Message Data:
- Outgoing and incoming message content is stored in your TextBolt account for conversation history
- Message delivery status (sent, delivered, failed) is tracked via Twilio’s status callbacks
- SMS credits are deducted from your plan for each message segment sent (including auto-replies)
9. Data Retention
We retain your data for the following periods:
| Data Type | Retention Period |
|---|---|
| Account information | While your account is active, plus 30 days after deletion |
| SMS message history | 12 months from the date sent/received |
| Calendar event cache | 90 days after the event date |
| Calendar connection tokens | Until you disconnect your calendar |
| Payment and billing records | As required by applicable law (typically 7 years) |
| Analytics and usage data | 24 months |
You can request deletion of your data at any time by contacting legal@textbolt.com.
10. Revoking Access
Google Calendar: You can disconnect your Google Calendar at any time from the Calendar Settings page in TextBolt. Disconnecting immediately:
- Stops all calendar event syncing
- Cancels all pending and scheduled reminders
- Revokes TextBolt’s access to your calendar data
Previously sent SMS messages remain in your message history. You can also revoke TextBolt’s access directly from your Google Account at https://myaccount.google.com/permissions.
Google Contacts: You can disconnect Google Contacts sync at any time. Contacts already imported into TextBolt are retained as your contacts; the sync connection is removed.
11. Children’s Privacy
TextBolt is a business communications platform and is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13.
12. International Data Transfers
TextBolt’s servers are located in the United States. If you access TextBolt from outside the United States, your data may be transferred to and processed in the United States. By using TextBolt, you consent to this transfer.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the “Last Updated” date. Your continued use of TextBolt after changes are posted constitutes acceptance of the updated policy.
14. Information Sharing
We do not sell, rent, or share your personal information except as described in this policy. We may share information with service providers, in response to legal requests, or to protect our rights.
15. Data Security
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction.
16. Google API Services User Data Policy
TextBolt’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- TextBolt only requests access to the Google API scopes that are necessary for the features you choose to use
- TextBolt does not use Google API data for serving advertisements
