Team Members on Shared Account

Hands-on setup takes around 30 minutes for the TextBolt account, business number, and adding a Send Email in Gmail or Send Email in Outlook step to your existing Zaps. **01 Sign Up for TextBolt**

Create your TextBolt account using your team’s email. Account creation takes about 2 minutes. The account is web-based and works alongside any Zapier plan; the Send Email path uses your existing Gmail or Microsoft 365 account through Zapier’s first-party integrations.

**02 Choose a Toll-Free Business Number**

Pick a dedicated toll-free number for outbound SMS. Toll-free number fee is $45/year. The number is the sender ID on every SMS triggered by your Zaps, so the team can save it in their phone’s address book and recognize the alert immediately. Same number across every Zap.

**04 Add a Send Email Step at the End of Any Zap**

In Zapier, open any existing Zap (or create a new one) and add a Send Email in Gmail or Send Email in Outlook action at the end. Set the To field to `+15551234567@sendemailtotext.com`. Set the Subject and Body to whatever message format you want the team to see on their phones (kept under 160 characters per SMS for clean delivery).

**05 Apply Across New Lead, Payment Failure, Order, and Ticket Triggers**

Replicate the Send Email step across the Zaps that matter to your team: new lead in the CRM, payment failure in Stripe, order created in Shopify or WooCommerce, ticket assigned in Zendesk or Freshdesk, form submission in Typeform or Jotform, deal stage change in Pipedrive or HubSpot. Different Zaps can route to different gateway addresses for different on-call leads.

**06 Invite Up to 10 Team Members**

Add the RevOps lead, sales ops, marketing ops, CX ops, and on-call leads to the shared TextBolt account. Each lead’s reply to a Zap-triggered SMS lands in the team’s email inbox, so the whole team sees acknowledgments and follow-ups in the same email thread the Zap started.

For engineering teams that prefer webhook-based routing or want richer payload control. In any Zap, add a Webhooks by Zapier action pointing at an email-relay service (Mailgun, Postmark, SendGrid). The relay forwards a formatted email to `+1[phone]@sendemailtotext.com`, and the SMS arrives in seconds. Useful when the same Zap also needs to fan out to other endpoints.
