Every Kayako notification becomes an SMS with TextBolt. Reach customers on their phones faster than email, with replies handled in your inbox.

[**Try TextBolt** →](https://my.textbolt.com/signup/)[Book a Demo](https://calendly.com/rp-spaceo/textbolt-demo-or-consultation-call-via-zoom) ![Delivery rate](https://wp.textbolt.com/wp-content/uploads/2026/06/SMS-Delivery-Rate-b5a1c3.svg) SMS Delivery Rate ![Setup time](https://wp.textbolt.com/wp-content/uploads/2026/06/Setup-Time-d843f3.svg) Setup Time ![Team members](https://wp.textbolt.com/wp-content/uploads/2026/06/Team-Members-4a8a30.svg) Team Members ![Shield](https://wp.textbolt.com/wp-content/uploads/2026/04/Frame-23-7ac4ac.svg) Trusted by DevOps, IT, and Support teams worldwide. ![Send SMS Alerts from Kayako](https://wp.textbolt.com/wp-content/uploads/2026/07/Send-SMS-Alerts-from-Kayako.webp)Kayako supports email, live chat, social, and voice, but not native SMS. DIY options like Twilio webhooks, Zapier, or the deprecated Forge SMS Alerts add complexity. TextBolt converts Kayako notification emails into 10DLC-compliant SMS, helping businesses reach customers faster.

![No native SMS](https://wp.textbolt.com/wp-content/uploads/2026/04/Gmail-Has-No-Native-SMS-Feature-0c8cec.svg)Kayako positions itself as omnichannel customer support across email, live chat (Messenger), social, and voice. SMS isn’t on that list. Searches for “send SMS from Kayako” land on community threads pointing at Twilio or the legacy Forge SMS Alerts mod. TextBolt slots in on top of Kayako and turns every notification email into a 10DLC-compliant SMS on the customer’s phone.

![Gateways shut down](https://wp.textbolt.com/wp-content/uploads/2026/04/Carrier-Gateways-Were-Never-Reliable-for-Business-75e97b.svg)Customer inboxes are crowded with newsletters, receipts, verification codes, and promotional mail. A “your ticket has been updated” email from Kayako competes with all of it for the same window of attention. By the time the customer notices the update, hours can pass. SMS sidesteps the inbox entirely and lands on the lock screen, where customers actually look.

![Unreliable gateways](https://wp.textbolt.com/wp-content/uploads/2026/04/Carrier-Email-to-SMS-Gateways-Have-Shut-Down-e16cac.svg)Kayako’s Messenger captures the customer’s message when an agent is offline and creates a ticket. Replies go through Messenger if the customer is still online, or to email if they’ve left. If an agent’s reply sits unseen in Messenger for 15 minutes, Kayako auto-sends it as email instead. That covers customers who watch their inbox. SMS reaches the rest.

![ Gmail Has No Native SMS Feature](https://wp.textbolt.com/wp-content/uploads/2026/04/Gmail-Has-No-Native-SMS-Feature-0c8cec.svg)Kayako’s automation engine fires emails when ticket events happen, including status changes, SLA breaches, and scheduled follow-ups. Those emails go to email inboxes. For a “your ticket is resolved” or “your appointment is tomorrow” message to reach the customer’s phone, Kayako has no native path. A third-party SMS layer has to sit between Kayako’s automation rule and the customer’s number.

![Replies Disappear](https://wp.textbolt.com/wp-content/uploads/2026/04/Frame-2-1-1b1254.svg)The DIY workaround is a Kayako webhook that POSTs to Twilio’s API on a ticket event. That setup needs a Twilio account, 10DLC business registration through The Campaign Registry, and a developer to build and maintain the webhook handler. The Zapier shortcut adds a separate paid service plus the “queued, not delivered” reliability caveat Zapier discloses on its own Kayako integration page.

![Fragmented teams](https://wp.textbolt.com/wp-content/uploads/2026/04/Frame-2-3-9fb303.svg)When SMS goes out through a custom Twilio build, replies land at a Twilio number or a webhook someone has to wire into your inbox. Customer replies to Kayako-fired SMS need to land somewhere your team actually watches. Without that bridge, the conversation drops between Twilio’s queue and Kayako’s ticket thread. TextBolt brings replies back as emails to your team’s inbox so the conversation stays in Kayako’s workflow.

TextBolt connects Kayako to a [registered 10DLC business number](https://textbolt.com/blog/10dlc-compliance/), so any notification email Kayako already sends becomes an SMS on the customer’s phone. The ticket inbox stays where it is, and an SMS channel gets added on top of the workflow Kayako already runs.

![Send SMS instantly](https://wp.textbolt.com/wp-content/uploads/2026/04/Send-SMS-from-Gmail-Instantly-a64eee.svg)Invite your Kayako notification sender address as a co-worker in TextBolt (for example **notifications@yourcompany.kayako.com**), click “Approve (no click needed)” on the invited row, then point Kayako’s notification action at **+1XXXXXXXXXX@sendemailtotext.com**. The next ticket update, status change, or follow-up email Kayako fires reaches the customer’s phone within minutes.

![10DLC compliant](https://wp.textbolt.com/wp-content/uploads/2026/04/10DLC-Compliant-Business-Number-ecade4.svg)TextBolt registers your sender identity with The Campaign Registry during onboarding. SMS travels over carrier-approved 10DLC infrastructure on AT&T, T-Mobile, and Verizon in the US, plus Rogers, Bell, Telus, and Fido in Canada. The carriers handle delivery directly, so there is no spam-folder filtering and no risk of a retired email-to-SMS gateway in the path.

![Two-way replies](https://wp.textbolt.com/wp-content/uploads/2026/04/Two-Way-Replies-to-Your-Gmail-Inbox-e2a1c9.svg)The SMS carries the ticket context Kayako sent so the customer knows what it’s about. If the customer texts back (“confirmed”, “please reschedule”, “what’s the next step?”), the reply arrives as an email in your team’s inbox, which keeps it in Kayako’s workflow alongside every other customer reply. TextBolt handles the email-to-phone-to-email round trip, and Kayako keeps the conversation thread.

![Multi-User Access](https://wp.textbolt.com/wp-content/uploads/2026/05/Multi-user-up-to-10-one-shared-account-bb5d67.svg)[TextBolt’s team plans](https://textbolt.com/pricing/) include up to 10 team members on a shared workspace. Support, customer success, IT help desk, and operations teams can send and receive SMS from the same business number, with no per-recipient fees and no extra Kayako seat needed for SMS access.

![Complete Audit Trail](https://wp.textbolt.com/wp-content/uploads/2026/04/Complete-Audit-Trail-for-Every-SMS-2d3113.svg)Each message is logged with timestamp, sender, recipient, body, delivery status, and credit usage. The SMS Activity page shows four views (Detail, Daily, By Sender, By Recipient), and the full history exports to CSV. The original Kayako subject ships in the SMS body so the customer immediately sees what the message is about.

![No code required](https://wp.textbolt.com/wp-content/uploads/2026/04/No-Apps-Script-No-Twilio-No-Code-bafc15.svg)TextBolt is email-based, not API-based. Setup doesn’t touch Kayako’s Conversation API, doesn’t need a Zapier zap, and doesn’t break when Kayako changes its trigger schema. If Kayako can send the email, TextBolt delivers it as SMS on the customer’s phone.

Team Members on Shared Account

Hands-on setup takes around 30 minutes. TextBolt handles 10DLC business verification with The Campaign Registry on your behalf in parallel. No developer, no Kayako admin training session.

**01 Create Your TextBolt Account**

Sign up at the TextBolt signup page using your work email. The account becomes the parent for any teammates you add later. Account creation takes about 2 minutes.

**02 Choose a Toll-Free Business Number**

Select a dedicated toll-free number from available 833, 844, or 855 prefixes. This becomes your team’s shared SMS sender identity for every Kayako message.

**03 Complete Business Verification**

Provide your business details during onboarding. TextBolt handles 10DLC and campaign registration with The Campaign Registry on your behalf. Carrier approval typically takes 1 to 7 business days, after which your number is enabled for compliant business SMS.

**04 Authorize Kayako’s Notification Sender (Pick One of Three Scenarios)**

Kayako notifications need to send from an address TextBolt recognizes. Pick the scenario that matches your Kayako setup. The same three-scenario model applies to[ Zendesk text alerts](https://textbolt.com/integration/zendesk-email-to-text-alerts/) and[ Freshdesk text alerts](https://textbolt.com/integration/freshdesk-email-to-text-alerts/) for teams running those help desks.

**Scenario A (Recommended): Kayako sends from a no-reply or instance address:** Most Kayako instances send notification emails from an address like **notifications@yourcompany.kayako.com or do-not-reply@yourcompany.com t**hat cannot click an invitation link. Approve it in one click. In your TextBolt dashboard, go to Co-workers, click Invite co-worker, and enter the Kayako notification sender address. Find the new row (status Invited), click the “…” menu, and choose “Approve (no click needed).” Then point Kayako’s notification rule at **+1XXXXXXXXXX@sendemailtotext.com**.

**Scenario B: Kayako sends from a real inbox you own:** If your Kayako instance is configured to send notifications from your admin email or an already-accepted co-worker address, you are already authorized. Set the notification destination to **+1XXXXXXXXXX@sendemailtotext.com.** Make sure the From: header is your admin email or an accepted co-worker. Trigger a test alert.

**Scenario C: You cannot change Kayako’s notification destination:** Set up a forwarding rule in the Gmail or Outlook inbox that Kayako sends to. Add a filter: “When email matches Kayako notifications, forward to +**1XXXXXXXXXX@sendemailtotext.com.**” The forwarding inbox must be your admin email or an accepted co-worker.

On Kayako Cloud, add the gateway address as the recipient on a “Notification: Email a user” action inside a trigger (Admin > Triggers) or a monitor (Admin > Monitors). On Kayako Classic, point the staff notification rule’s email destination at the gateway address; the SMTP server you already use for Kayako outbound mail handles delivery.

**05 Send a Test Alert from Kayako**

Submit a test ticket through your Kayako support form or fire a manual notification rule. The test recipient’s phone receives the SMS within a few minutes of the event firing in Kayako. Confirm delivery in TextBolt’s SMS Activity log before pointing live customer notifications at the gateway address.

**06 Invite Up to 10 Team Members**

Add coworkers to the shared TextBolt workspace from the team-management page. Each team member can send to customers and handle SMS replies from the same business number, with no per-user fees.

![How to Turn Kayako Email Alerts into SMS with TextBolt](https://wp.textbolt.com/wp-content/uploads/2026/07/How-to-Turn-Kayako-Email-Alerts-into-SMS-with-TextBolt.webp)Turn Kayako Email Notifications into Customer SMS

Convert every Kayako ticket update, escalation, and reminder into a 10DLC-compliant SMS. No APIs, webhooks, or custom development—just your existing email workflow.

[Start Free Trial ![](https://wp.textbolt.com/wp-content/uploads/2026/05/arrow-white-5c9b5a.svg)](https://my.textbolt.com/signup/)Once Kayako is connected to TextBolt, three usage patterns cover almost every customer SMS workflow. Each one starts with the same TextBolt gateway address. The only thing that changes is how many Kayako automation rules point at it.

Paste **+1[phone]@sendemailtotext.com** as the recipient of one “Notification: Email a user” action inside a Kayako automation rule. Every ticket that fires the rule sends the email Kayako already produces, and TextBolt delivers it as SMS to that customer’s number. Clean for single-purpose workflows like appointment reminders or ticket-resolved alerts.

Set up multiple Kayako automation rules, each with its own TextBolt gateway address as the email recipient. Different customer segments get different SMS based on ticket priority, tag, or owning team — VIP customers go to one number, billing escalations to another, general support updates to a third. All paths sit under the same TextBolt team plan.

Already running a Zapier + Twilio chain or a custom Kayako webhook that POSTs to Twilio’s API? Replace the chain with a TextBolt gateway address pasted into Kayako’s notification action. Same Kayako triggers, same customers. The Zapier subscription, Twilio API credentials, and webhook handler maintenance all go away.

When teams add SMS to Kayako, five customer-facing workflows move the needle the fastest. Each one starts with an email Kayako already sends. TextBolt converts that email into an SMS on the customer’s phone, and any reply comes back as an email to your Kayako-managed inbox.

**Appointment Reminders**

For Kayako teams in healthcare, professional services, and field service, missed appointments cost real money. Set Kayako automation to fire a reminder email 24 hours and 1 hour before the appointment. TextBolt delivers each one as an SMS so the reminder lands on the customer’s phone, not at the bottom of an email tab. Customers can text back to confirm or reschedule, and the reply shows up in your team’s inbox.

**Support Updates**

Customers waiting on a ticket want to know what’s happening without refreshing their email. When Kayako sends a status-change email — “ticket received,” “agent assigned,” “we’re investigating,” “resolved” — TextBolt sends it as SMS to the customer’s phone. Result: fewer inbound “any update?” follow-ups for your support team to handle.

**Order or Service Notifications**

For ecommerce and service businesses running support through Kayako, transactional updates like order shipped, service appointment confirmed, or return processed go out today as email. With TextBolt, those same emails reach customers as SMS, where 98% are opened within minutes instead of the 20% that email averages.

**Escalations and Urgent Follow-Ups**

When a customer ticket is escalated or needs a fast customer reply like payment failed, account locked, action required, the urgency calls for a channel customers actually check. Kayako fires the escalation email and TextBolt delivers it as an SMS to the customer’s phone. A dedicated TextBolt number for urgent alerts trains customers that an SMS from that number is always actionable.

**Customer Re-Engagement**

Kayako’s automation can trigger an email when a customer hasn’t replied to a ticket for 24 or 48 hours. SMS re-engagement gets 98%, often within minutes. For long-tail tickets where customer input is the only thing keeping the ticket open, TextBolt converts the re-engagement email to SMS so the customer actually sees it.

The Zapier or direct Twilio webhook path needs developer time and ongoing maintenance. The PagerDuty / AlertOps / Xurrent IMR stack adds per-seat IRM cost on top of Kayako. TextBolt slots into the email-notification model Kayako already supports.

Build and maintain your own SMS integration

Connect Kayako triggers to Twilio using Zapier or a custom webhook. Flexible, but requires separate services, 10DLC registration, and ongoing maintenance.

**How does TextBolt work with Kayako?**

TextBolt works as an email-to-SMS gateway for Kayako, delivering Kayako’s email notifications to customer phones as 10DLC-compliant SMS. When Kayako sends a ticket update, status change, or follow-up email to a customer, TextBolt delivers it as a 10DLC-compliant SMS to the customer’s phone, where it actually gets read. When the customer texts back, the reply threads to the rep’s Gmail or Outlook inbox as an email under the original notification subject, so the agent sees it without leaving their inbox.

**Does Kayako have built-in SMS messaging?**

No. Kayako’s documented messaging channels are email, live chat, voice, and the Kayako mobile app for agents. SMS to customers or agents is not a first-party feature in Kayako Cloud. The only first-party SMS attempt and the legacy Forge “SMS Alerts” for Kayako Classic—still required a Twizo or Clickatell account plus a PHP file hosted on your own web server. Every current path to SMS from Kayako runs through a third-party gateway like TextBolt, a Zapier + Twilio chain, or a PagerDuty / AlertOps / Xurrent IMR webhook stack.

**How do I turn Kayako email alerts into SMS?**

Point Kayako’s email-based notification action at a TextBolt gateway address in the form **+1XXXXXXXXXX@sendemailtotext.com, where +1XXXXXXXXXX** is the destination phone in E.164 format. TextBolt receives the email, converts the subject and body into an SMS body (up to 909 characters across three GSM-7 segments), and delivers it through your registered 10DLC toll-free number to the recipient’s phone. No webhook coding, no Zapier zap, no Kayako API access.

**Can TextBolt send SMS from Kayako notifications?**

Yes. TextBolt is built for the email-to-SMS pattern Kayako already supports. Any Kayako notification , including new ticket, customer reply, @-mention, SLA warning, SLA breach, ticket escalation, automation-rule email that fires as an email can be delivered as SMS through TextBolt.

**Is TextBolt a no-code SMS option for Kayako?**

Yes. TextBolt requires no code, no API integration, no webhook, and no Zapier zap. The setup is paste-a-gateway-address: point a Kayako automation rule’s “Notification: Email a user” action at **+1XXXXXXXXXX@sendemailtotext.com,** or set a Gmail or Outlook forwarding rule on the inbox Kayako sends to. TextBolt handles the email-to-SMS conversion, 10DLC business registration with The Campaign Registry, and delivery from your toll-free number. End-to-end setup takes about 30 minutes.

**Can an agent reply to a TextBolt SMS and have that reply appear in the Kayako ticket thread?**

No. TextBolt SMS replies land as emails in the inbox of whoever sent the original Kayako notification, not in the Kayako ticket thread. The SMS itself carries the ticket context (customer name, subject, alert type) so the agent knows which Kayako ticket to open and reply through the standard interface, keeping the customer-facing response inside the ticket record. The text-back reply gives the rotation a quick acknowledgment trail without leaving the inbox. If you specifically need text-reply write-back into the Kayako ticket, use a Kayako API webhook or a Kayako-native SMS integration partner.

**Which Kayako notification types actually send an email I can forward to TextBolt?**

Kayako sends emails for new ticket assignments, new inbound tickets, new customer replies, agent @-mentions, SLA warnings, SLA breaches, ticket escalations, ticket reassignments, and any automation rule “Email a user” or “Email a team” action. The general rule: if Kayako sends an email for the event, TextBolt delivers it as SMS. Real-time browser or mobile push events that fire only as in-app alerts produce no outbound email, so no SMS leaves Kayako for those.

**How do I send real-time SMS alerts from Kayako ticket events?**

Invite Kayako’s notification sender address as a co-worker in TextBolt using the “Approve (no click needed)” option, then add the gateway address **+1XXXXXXXXXX@sendemailtotext.com** as the recipient on a Kayako “Notification: Email a user” automation triggered on conversation creation, assignment, or reply. If you cannot change Kayako’s destination, set a Gmail or Outlook forwarding rule on the inbox Kayako emails to instead. The SMS arrives within a few minutes of the email leaving Kayako’s servers.

**How do support teams send urgent SMS alerts through Kayako?**

Build a separate Kayako automation rule for urgent events (SLA breach, P1 ticket creation, tickets tagged “outage” or “churn-risk”) and have it target the on-call agent’s TextBolt gateway address. Prefix the Kayako notification subject with a marker like “[URGENT]” or “[SLA-BREACH]” so the subject, which TextBolt includes in the SMS body — tells the on-call agent at a glance that the message is actionable. Routine ticket notifications continue flowing through the standard automation rules to the front-line agents’ gateway addresses, keeping urgent messages out of the noise of every new inbound ticket.

**Does TextBolt work with Kayako Classic as well as Kayako Cloud?**

Yes. Kayako Classic dispatches notification emails through your own SMTP server, so the integration path is identical. Point the staff notification rule’s email destination at the TextBolt gateway address. Kayako Cloud uses the “Notification: Email a user” automation action under Admin > Automation. From the agent’s perspective the SMS arrives the same way on either version.

**Is SMS messaging from Kayako compliant with GDPR and TCPA?**

It depends on the audience. SMS sent to your own staff for internal alerting is generally outside TCPA’s consumer marketing scope and GDPR Article 6 consent requirements; SMS sent to customers for marketing or service notifications requires the same consent record you’d maintain in any other channel. TextBolt’s 10DLC business registration covers A2P sender legitimacy with US carriers, which is the actual carrier-side requirement.
