**01 Sign Up for TextBolt**

Create your TextBolt account using your work email at my.textbolt.com/signup. Account creation takes about 2 minutes. The account ties to your domain so you can add up to nine co-workers later.

**02 Choose a Toll-Free Business Number**

Pick a dedicated toll-free number for outbound SMS. A one-time annual setup fee applies (see the [pricing page](https://textbolt.com/pricing/) for current terms). The number is the sender ID on every SMS Help Scout sends through TextBolt.

**03 TextBolt Handles 10DLC Business Verification**

Provide your business details during TextBolt onboarding. TextBolt handles 10DLC business and campaign registration with The Campaign Registry on your behalf, typically within 24 to 48 hours for carrier approval. Once approved, your number is enabled for compliant business SMS.

**04 Authorize Help Scout’s Forward Sender Address**

TextBolt supports three sender authorization options. Choose the one that matches your Help Scout setup.

**Default Help Scout notifications (Recommended):** Help Scout sends agent notifications from **notifications@helpscout.net**, while Workflow Forward emails use your mailbox’s configured **From** address. Authorize either or both sender addresses in TextBolt, then send Workflow Forward emails to your TextBolt email-to-SMS gateway.

**Your own business email:** If Help Scout already sends Workflow Forward emails from your admin email or another approved sender, you’re ready to go. Point the Workflow Forward action to your TextBolt gateway and send a test notification.

**Email forwarding:** If you can’t change the sender address, create a Gmail or Outlook forwarding rule that forwards Help Scout notification emails to your TextBolt gateway. The forwarding mailbox must be an authorized sender in TextBolt.

**05 Build the Help Scout Workflow That Fires the Forward**

In Help Scout go to Manage > Workflows > Automatic Workflows and create a new Workflow. Set the conditions to the event you want to alert on (Status changed to Active, Tag added contains “urgent”, Customer Property contains “enterprise”, Waiting Since > 30 minutes, etc.). Add the Forward action and paste **+1XXXXXXXXXX@sendemailtotext.com** as the third-party recipient. Save the Workflow.

**06 Trigger a Test Alert and Add Up to 9 Co-Workers**

Apply the Workflow manually to a test conversation or wait for a matching live conversation. The assigned agent receives the SMS within a few minutes of the Forward firing in Help Scout. Confirm delivery in TextBolt’s SMS Activity log. Then invite up to nine more co-workers from the team-management page so the rest of your support, CX, and on-call rotation receives SMS from the same business number.

The right pattern when your rotation splits by conversation type. Outage-tagged tickets should page on-call engineering; enterprise-customer conversations should reach the CSM; SLA-at-risk waits should notify the support lead. Each Workflow points at a different TextBolt number, so each on-call role only receives the SMS meant for them. One shared TextBolt team account manages all the numbers together.

The right pattern for teams already running SMS through a middleware chain and looking to cut it. **Conversation Assigned to a Specific User or Team**

The Workflow condition Assigned is User: [name] or Team: [on-call] fires a Forward the moment Help Scout assigns a conversation to that user or team. The on-call engineer or CSM gets the SMS even when the assignment happens through a separate Workflow’s Assign action.

**Tag Added or Subject Matches a Priority Keyword**

Workflow condition Tag contains “outage”, “p1”, “incident”, “churn-risk”, or Subject contains “urgent” fires a Forward to TextBolt. The on-call agent gets a text with the customer name and conversation subject within minutes of the tag being applied or the conversation being created.

**SLA-At-Risk: Waiting Since > Threshold**

Workflow condition Waiting Since > 2 hours (or whatever your team’s SLA threshold is) fires a Forward to the support lead’s TextBolt number. The lead gets an SMS before the SLA actually breaches, so the response can happen inside the SLA window instead of after.

**Customer Property Matches an Enterprise or VIP Segment**

Workflow condition Customer Property contains “enterprise”, “vip”, or your custom property tier fires a Forward to the CSM’s TextBolt number. Help Scout’s Customer Properties (custom fields on the customer record) make segment-based SMS forwarding a single Workflow condition, not a separate Zapier filter.

**Beacon Chat Handoff to the Inbox**

When a customer starts a chat through the Beacon widget on your site and the chat is handed off to the Inbox (because no agent is online or the chat is closed without resolution), Help Scout creates a new conversation. The same Workflows that forward assigned conversations to TextBolt pick up Beacon-initiated chats the same way. Beacon chats outside business hours are one of the most common SMB triggers for Help Scout + TextBolt.
