How TextBolt Solves Healthcare Communication Challenges

Staff text patients from personal phones. No audit trail, no privacy.

Every text routes through a business number from your existing email. Personal numbers stay private.

Appointment reminders go unread in email inboxes

Text reminders hit the device patients actually check. No-show rates drop dramatically.

Only one person knows how to send patient texts

Up to 10 staff members can text from the same healthcare number. Any authorized team member can send.

AT&T/Verizon/T-Mobile shut down their email-to-text gateways

TextBolt replaces discontinued carrier gateways with a dedicated, compliant number.

New staff need training on SMS platforms

If they can send an email, they can send a text. Zero training required.

No proof a patient received critical information

Every message is timestamped and logged. Delivery confirmation protects you.

Enterprise healthcare SMS platforms cost $200+/month

Plans start at $29/month. No per-message fees, no contracts.

Why Healthcare Teams Choose Email-to-SMS for Patient Communication

TextBolt was built for practices that need reliable patient texting without new software, IT projects, or compliance headaches. Everything runs through the email your team already uses.

Instant Delivery to Every Patient’s Phone

One email reaches 200 patients in under 60 seconds through carrier-approved 10DLC numbers with a 98% delivery rate. When a message is time-sensitive, it needs to land on a phone, not sit in an inbox.

Built for HIPAA-Aware Workflows

TextBolt handles non-PHI patient messages like appointment reminders, confirmations, schedule changes, and portal login nudges. Content is encrypted in transit and at rest, with audit logging and role-based access. Keep PHI inside your patient portal, and TextBolt gives you a cleaner audit trail than personal phones or legacy gateways.

Up to 98% Delivery Rate

Messages from personal phones and free gateways get flagged as spam before they reach patients. TextBolt’s 10DLC registration ensures your texts are treated as legitimate business communications and delivered reliably.

Multiple Providers, One Number

Doctors, nurses, and front desk all text from the same practice number, each from their own email. Patients see one consistent number, and communication never bottlenecks at one person’s desk.

No Training Required — If They Can Email, They Can Text

If your staff can send an email, they can text patients. No app, no dashboard, no passwords. Practices are surprised when the entire team goes live without a single training session.

Two-Way Conversations Without Leaving Your Inbox

Patients reply to your text and it lands in your email inbox. Confirm appointments, answer questions, collect info — all without picking up the phone. Every conversation stays in one thread.

Why We Say “HIPAA-Aware” Instead of “HIPAA-Compliant”

Most SMS vendors advertise “HIPAA-compliant text messaging.” We don’t, and that honesty is worth more to your practice than the marketing claim. We call our approach HIPAA-aware messaging: SMS for appointment reminders and portal nudges, your HIPAA-compliant patient portal for the actual PHI.

What HIPAA-aware messaging is

  • Short notifications by text: appointment reminders, confirmations, portal nudges, and schedule changes
  • Message bodies with zero PHI, in line with HHS guidance for general patient communication
  • Timestamped, attributed audit log for every send, reply, and delivery status
  • Encrypted in transit and at rest on our platform, with role-based staff access
  • A cleaner record than personal phones, legacy carrier gateways, or mixed staff-texting workflows

What “HIPAA-compliant SMS” is not

  • A regulatory category: HHS does not certify any SMS platform as HIPAA-compliant, so the phrase is marketing, not a standard
  • Made safe by a BAA: a BAA governs how a vendor handles stored data, not the carrier network in between
  • Encrypted end-to-end: once a text leaves any vendor’s platform, it crosses the public carrier backbone in plaintext (a limit of the SMS protocol, not a gap in one product)
  • The right channel for lab results, diagnoses, medication specifics, or any clinical detail inside the message body

Example: “A message from Dr. Lee’s office is waiting in your patient portal. Log in to view: portal.example.com”

Notification by text, detail by portal. Same urgency, same click-through, zero PHI on the carrier network. The timestamped delivery log becomes your documentation that the patient was notified, while the PHI itself never leaves your portal.

What to Text and What Not to Text

The simplest way for a medical practice to stay on the right side of HIPAA is to follow one rule: use SMS for reminders and notifications, keep clinical detail inside your patient portal.

Safe to send by text

  • Appointment reminders (“Reminder: your appointment is tomorrow at 3pm”)
  • Confirmation requests (“Reply Y to confirm, N to reschedule”)
  • Schedule changes (“Dr. Lee is out today — we’ll call to reschedule”)
  • Portal nudges (“A new message is waiting for you. Log in: portal.example.com”)
  • General practice updates (holiday hours, new location, flu-shot availability)
  • Post-visit check-ins (“How are you feeling after yesterday’s visit? Reply to let us know”)

Not appropriate for SMS (by any vendor)

  • Specific lab or test results inside the message body
  • Diagnoses, medications, or treatment detail
  • Any content that would be considered PHI if leaked

Example: “Your lab results are ready. Please log in to your patient portal to view them: portal.example.com”

Compliance & Safety Features Included

Every TextBolt account includes the safeguards a medical practice needs to text patients with confidence. These protections run automatically in the background, so your team stays focused on patient care instead of compliance paperwork.

  • Automatic STOP / opt-out handling — patients who reply STOP are immediately unsubscribed; you don’t have to track it manually.
  • Registered 10DLC business sender — no grey-area gateways, no spam flags.
  • Timestamped audit log — every send, reply, and delivery status is recorded and searchable.
  • Sender attribution — every message is tied to the staff member who sent it, from their own email.
  • Business number — not personal phones — patients see a consistent practice number; staff mobile numbers stay private.
  • Encryption in transit and at rest — TLS on every API call, AES-256 on stored data.
  • Role-based access — practice managers control who can send, who can view history, and who can export.
  • Data export & retention controls — export message history any time; configurable retention for practices with specific record-keeping requirements.

The Practice Toolkit — Everything Your Front Desk Needs

TextBolt isn’t just email-to-text. It’s a complete patient-messaging toolkit built for how a medical practice actually works day-to-day.

One Composer for Every Message

Send a text to a single patient, a small group, or your entire recall list, all from one screen. Pick a recipient or a list, type your message (or drop in a saved template), and send in seconds. No separate app to open, no new software to learn, no dashboard to master. Start a new conversation

Reusable Message Templates

Write your “appointment reminder,” “schedule change,” “portal message waiting,” and “annual recall” texts once, then save them as templates and reuse them forever. Merge tags like {first_name}, {appointment_date}, and {appointment_time} personalize each message automatically. Your front desk stops retyping the same sentence forty times a day. Create a template

A Shared Patient Contact Book

Every patient your practice texts lives in one searchable contact book, with no spreadsheets, no paper lists, and no asking “who has the phone number for that patient?” Add custom fields like date of birth, preferred provider, or insurance plan. Any message can be filtered and personalized without PHI ever touching the body. Open your contact book

Smart Lists for Patient Segments

Group patients into lists the way Gmail uses labels: “Pediatric patients,” “Annual physicals due this quarter,” “Dr. Lee’s patients,” or as many categories as your practice needs. Filter by provider, visit type, insurance plan, or any custom field. One click sends a targeted text to the right group. Manage lists

Built for Teams, Not Just One Person

Front desk, hygienists, providers, and office managers all work from the same practice number, each sending from their own email. Every text is logged to the sender and visible to practice managers. Nobody shares a login, no message ever leaves a personal phone, and patients see one consistent number. Invite your team

Schedule Reminders for the Right Moment

Schedule appointment reminders to go out the day before every visit, recall nudges for the first of each month, or post-visit check-ins a day after the procedure. Set it once, pick the time, and TextBolt handles the send automatically. Your front desk never has to remember which patients need which reminder when. Schedule a patient text

How Healthcare Teams Use TextBolt for Patient Communication

From appointment reminders to lab result notifications, healthcare teams use TextBolt to reach patients faster, reduce no-shows, and keep critical updates from getting buried in email.

Reduce Patient No-Shows

A patient has an appointment tomorrow but never saw the email reminder. A text gets a response in minutes. They confirm, reschedule, or cancel before the slot goes to waste. One message saves the revenue from an empty chair. Practices that switch to text reminders see their no-show rates drop significantly.

Urgent Patient Updates

A medication gets recalled and patients need to switch immediately. The email sent yesterday is still unread. A text reaches them in seconds. They contact the pharmacy and switch medications before the day is over. When health is on the line, urgent updates can’t sit in an inbox.

Schedule Change Notifications

A provider calls in sick and a full day of patients needs to be rescheduled. The front desk sends one email that triggers texts to every affected patient. They all know before leaving the house. Practices that notify patients the moment schedules change prevent frustrated arrivals and wasted trips.

Post-Visit Follow-Ups

A patient had a procedure yesterday. The post-care instructions were in an email they never opened. A text with recovery reminders reaches them immediately, and they follow through instead of calling the office confused. Post-visit follow-ups by text catch complications before they escalate.

Staff Coordination

A schedule change affects multiple providers but they’re all in rooms with patients. An internal email goes unnoticed. A text reaches every staff member instantly. When the team coordinates through text, internal updates don’t sit in an inbox waiting to be discovered.

Lab Result Notifications

Lab results are ready but the patient never opened the email. Days pass, the patient claims nobody told them. A text with a timestamp proves they were notified and directs them to the portal. That timestamp protects the practice from liability claims and cuts down on follow-up calls.

Stop Losing Revenue to Missed Appointments

Every no-show costs your practice $200. Every missed follow-up is a liability risk. TextBolt lets any staff member reach any patient in seconds, from the email they already use.

“When our carrier gateway shut down, we switched to TextBolt. The staff didn’t need any training. They just send an email like they always do, and the patient gets a text. It’s the simplest tool we’ve added to the practice.”

Merriann

“Our front desk used to spend the first hour of every morning calling patients to confirm appointments. Now they send reminders from email and the confirmations come back as texts. We actually have time to focus on patients who walk in the door.”

Rachel K.

Office Manager, Lakeview Medical Group

“We had three hygienists and a front desk all texting patients from different personal phones. There was no record of anything. With TextBolt, everyone texts from one number through their own email, and I can see every message that goes out.”

Frequently Asked Questions

Got questions? We’ve got answers.

How quickly can our practice start sending text messages to customers?

Account setup takes about 30 minutes. TextBolt handles 10DLC carrier registration in the background, which is typically approved within 48 hours.

Is TextBolt HIPAA compliant?

TextBolt is built for HIPAA-aware patient messaging the appointment reminders, confirmations, portal nudges, and schedule notifications that make up the bulk of patient communication. Messages are stored in a secured, audit-logged environment with encryption in transit and at rest, role-based access, and per-user attribution.

We want to be plain with you: SMS as a protocol is not the right place to transmit Protected Health Information, regardless of vendor. We do not currently sign a Business Associate Agreement (BAA). The healthcare industry best practice and the approach we recommend is to send a short notification by text and keep the PHI itself inside your patient portal or EHR. Used that way, TextBolt gives you a cleaner audit trail than personal phones, legacy carrier gateways, or mixed staff-texting workflows. As always, consult your compliance officer for your specific situation.

How do patients reply to our texts?

Patients reply like a normal text. Their response lands directly in your email inbox. You can reply back the same way no separate app to check, no portal to log into.

Can we replace AT&T or Verizon email-to-text gateways?

Yes. TextBolt is a direct replacement for carrier gateways that were shut down. Setup takes minutes and your staff keeps using email exactly like before — the only difference is patients get a text instead.

Do we need IT support or a DMS integration to set up TextBolt?

No. There’s nothing to install, no API to configure, and no DMS integration required. TextBolt works through email if your practice can send an email, you can send a patient text.

What happens if a patient texts STOP?

They’re automatically opted out and won’t receive any more messages. TextBolt handles opt-out compliance automatically so your team doesn’t have to track it manually.

Do you sign a Business Associate Agreement (BAA)?

Not on our standard plans we recommend PHI-free messaging and a portal link for any clinical content. For hospital systems and multi-site practices that require a BAA, we offer one on our dedicated enterprise deployment.

Can we send lab results or test outcomes by text?

We strongly recommend against putting specific results, diagnoses, or treatment detail in the SMS body this is true for every SMS vendor, not just TextBolt. The standard approach is to text the patient that their results are ready and include a link to your patient portal, where the result itself is viewed securely. You keep the speed of SMS and the compliance of the portal.
